Zilker Relays Marathon Kids, Inc. contracted Idea Tree Events for project management of event logistics and City of Austin permitting requirements for a popular race in its 20th year held in Zilker Park in Austin, Texas. Having relocated, the race founder recognized the benefit of having a local team present to handle logistics during the pre-planning and on-site phase.
On-Site Logistics Corporate Sales & Management Meetings
Recognizing they were over capacity in producing multiple events close together at the same time, HID contracted Idea Tree Events to provide supplemental on-site support to the corporate meetings team. As an extension of the HID meetings team, Idea Tree Events was brought in to manage attendee check-in, room blocks, audio visual, food, beverage, transportation and all off-site activities for 12 leadership and sales meetings. Ranging in size from 100 to 300 guests in multiple global destinations, the conferences and meetings featured a host of both content and relationship building activities.
Venue Management Large Conference
Consensus by Coindesk, the world's largest, longest-running and most influential gathering bringing together all sides of cryptocurrency, blockchain and Web3 community, sought out an event professional with extensive hotel knowledge who could also work with a very short planning runway to fill an urgent need for an upcoming conference. Idea Tree Events stepped in to manage the hotel venue that included a VIP elevated experience venue for premium badge holders during the 2021 conference.
Venue Sourcing & Contract Negotiation Large Conference
In recognizing the Meetings Department was over capacity with multiple high priority time sensitive projects, the Texas Association of Realtors reached out to Idea Tree Events to source the venue for its annual conference. The Texas Association of Realtors outsourced the labor intensive workstream to secure a conference venue for the next three years for 2,000 attendees.
Teambuilding & Entertainment Ideation
HID identified the need of their meeting stakeholders to be able to focus on the core delivery of leadership meetings at their annual leadership meeting. Idea Tree Events was contracted to develop and execute logistics for multiple team building engagement and entertainment concepts to accompany the HID annual leadership meeting.
Ideation & Event Production Grand Opening
Idea Tree Events was contacted by the CMO at the College of Healthcare Professionals to produce a grand opening event to feature their newly opened campus in Austin. Without an events professional on staff, their marketing department lacked the resources to produce an event of this scope and size while still managing their day-to-day workflow.
Project Management Motion Graphics
With its internal production team at capacity, Derse recognized a need to quickly scale up its efforts during a period of high demand. Idea Tree Events was brought in by Derse to project manage the development of motion graphic creative assets along with a soundtrack to be displayed on an LED ribbon inside the entryway to their Customer Experience Center. Derse recognized the technical and agency knowledge the project would require, and looked to Idea Tree Events to oversee the chosen motion graphic artists and technical teams to move forward with a successful project.
Large Scale Conference Planning & Production
Recognizing the need for more experienced resources to produce successful outcomes, Reach Meetings & Events contracted with Idea Tree Events to support their network of freelance event professionals. Idea Tree Events was hired to plan and produce the Education Service Center Region X’s annual Dyslexia Institute for 2,000 educators, 10 speakers & 20 exhibitor sponsors.
Digital Interactives Project Management Permanent Exhibit
With its internal production team at capacity, Derse recognized a need to quickly scale up its efforts during a period of high demand. Idea Tree Events was contracted by Derse to serve as its project management lead for a multi-million dollar renovation and relaunch of the Tupelo Visitors Center, a three-year project. Idea Tree Events has maintained a successful partnership with Derse since 2017 on projects requiring specialty skills and agency experience. Idea Tree Events has extensive agency experience that applied directly to the needs of this particular project.
